About the Client

The Game Management Authority (GMA) is an independent authority responsible for the regulation of game hunting in Victoria. Through regulation and education, GMA supports responsible and sustainable game hunting of deer, duck, various game birds and pest animals.

Overview

For anyone hunting game in Victoria, they must hold a game licence. At any time, there can be 40,000 active users needing to renew or request a gaming licence. There are also certain obligations that users need to meet to receive a licence. The GMA needed a smart online solution to support self-service functionality and reduce administration time.

Problem

The functionality of the GMA licensing system was effective, but it needed to be more efficient in the backend and provide a contemporary user experience to meet stakeholder expectations and regulations. Administratively, the licensing system was time-consuming for commission officers.

The updated system needed to support approximately 40,000 active registered users in fulfilling their licensing needs. This also included a new learning management system so users could complete tests to support licensing regulations.

Solution

After a review of GMA functional requirements, Atturra suggested a system based on Microsoft Dynamics 365 and Microsoft Power Platform. This would provide a customer self-service portal supported by a CRM solution for commission officers.

The solution was called MyGL (My Game Licence). It integrated into external systems and used Microsoft Azure Active Directory Services, Azure Integration Services and other Azure services where needed.

The new authenticated web portal has smart forms for regular users, which replaces the need for anonymous online application forms. And with Dynamics 365, GMA staff managing the licensing process have access to reporting, dashboards and the necessary workflows to conduct their business processes.

The learning management system was built using the Moodle learning management solution. This new functionality now enables two species-specific tests to be completed in MyGL as part of the licensing application process.

Outcomes achieved

The Atturra team supported a digital transformation for GMA to manage the licensing application and renewal processes more efficiently. MyGL now allows users to manage their own access credentials without placing an unnecessary administrative burden on GMA staff.

Both internal and external stakeholders have visibility on the status of an application during the assessment and decision-making process.
